GC AUTOMATION & ENGINEERING — REFUND & CANCELLATION POLICY

GC Automation & Engineering (“we,” “our,” or “us”) provides industrial equipment repair, diagnostics, and technical field services.
Because our work involves on-site travel, labor, and time-sensitive support, our refund and cancellation rules are as follows:

🔹 1. Service Fees Are Non-Refundable

All service labor, travel labor, and completed work are non-refundable once performed.

This includes:

  • On-site diagnostics

  • Repair attempts

  • Electrical/mechanical troubleshooting

  • Drive/motor/VFD diagnostics

  • Conveyor or packaging equipment troubleshooting

  • Time spent traveling to/from the job site

Once hours are logged, they are billable and non-refundable.

🔹 2. Travel, Mileage, Lodging, and Per Diem Are Non-Refundable

Any of the following are non-refundable once incurred:

  • Travel labor

  • Mileage

  • Hotel/lodging

  • Per diem

  • Airfare, rental cars, or transportation booked ahead of time

If travel has already started — these charges apply regardless of cancellation.

🔹 3. Cancellations & Rescheduling

Standard Appointments (24+ hours notice)

If you cancel more than 24 hours before service, no cancellation fee applies.

Short-Notice Cancellations (< 24 hours)

Cancellations made within 24 hours of the appointment may incur charges for:

  • Travel time already started

  • Expenses already committed

  • Minimum 2-hour labor charge (if technician was en route)

Same-Day or On-Site Cancellations

If a technician is already:

  • En route

  • On-site

  • Performing diagnostics

…then the full applicable service and travel charges apply, including per diem/mileage/lodging.

Emergency or Weekend/Holiday Bookings

Emergency and weekend bookings that are canceled after acceptance may incur:

  • A minimum emergency charge

  • Any costs already incurred

  • Weekend/holiday rate minimums

🔹 4. No Refunds for Diagnostic Time

Diagnostic time is billable because:

  • Equipment must be opened

  • Testing must be performed

  • Troubleshooting requires labor

  • Unsafe or non-operational conditions must be assessed

Even if the equipment cannot be repaired on-site, diagnostic labor is non-refundable.

🔹 5. Disputes

If you believe an invoice is incorrect:

You must notify us within 5 business days of receiving the invoice.

We will work with you to resolve concerns, but completed labor and travel time cannot be refunded.

🔹 6. Deposits (If Used)

If a deposit is paid for scheduled service:

  • Deposits are applied to the final invoice

  • Deposits are non-refundable if cancellation occurs within 24 hours or after travel begins
